HubSpot form submission notifications not arriving

People fill in your HubSpot form and you hear nothing. The submissions may be sitting in HubSpot while nobody got the alert. That points to the notification side, not the form. HubSpot's help page (last updated June 15, 2026) has a short troubleshooting list. This guide puts it in order and explains each step.

The two places that both have to be right

Notifications depend on your own user setting and on the recipients set on each form. Fix one and miss the other and you still get nothing.

The checks, in order

  1. Your user notification setting. Click the settings icon in the top bar, then Notifications in the left menu. On the Email & Desktop tab, find Form submissions, tick the notification types you want and click Save. HubSpot's first troubleshooting line is to make sure your user notifications are on.
  2. The form's recipients. Go to Marketing > Forms, edit the form, click the settings icon and open the Submission settings tab. Under Real-time submission notifications you can tick Notify contact owner and use Add users to notify to pick users or teams. Our suggestion: a brand new lead often has no owner yet, so add named users as well rather than relying on the owner option alone.
  3. Publish the change. HubSpot says to confirm the form was published after you edited recipients. Click Review and update if the form shows unpublished changes.
  4. Check page level overrides. If the form sits on a HubSpot page, the form module on that page can override the recipients set in the form editor. HubSpot adds that if a page overrides the defaults, the default recipients get nothing from that page unless they are added in the form module there. If the same form lives on several pages, check each one.
  5. Recipients must be active users. HubSpot says notification recipients must be active users in your account. A new user with a pending invite, or one who has not set up their account yet, cannot receive them.
  6. Look for filtering. Search your inbox for noreply@notifications.hubspot.com. If you use Outlook, check whether the notification was quarantined or filtered. If your email client is not filtering it and nothing arrives, your IT team may need to add HubSpot to an allowlist.
  7. Distribution lists. If the recipient is a shared address like sales@yourcompany.com, HubSpot warns that when one list member unsubscribes from form notification emails, it can unsubscribe all members. To restore delivery, resubscribe from a past notification email. Our suggestion: use a real person's mailbox for form alerts and forward from there.
  8. A single missing submission. HubSpot says to check whether the visitor gave an email address in the default Email form field and has associated tracking cookies. If not, no notification email is sent for that submission.

What else HubSpot mentions

Custom notification emails need a workflow, which HubSpot says is available on Professional or Enterprise. Slack alerts are set up through a separate process.

How to know it is fixed

Submit the form yourself in a private window with an address you can read. Then check the inbox and spam. Do it once for every page the form lives on, since page overrides differ.

When to hand it over

If the form is embedded on a site that is not hosted by HubSpot, the notification is HubSpot's but the form display and any spam filtering sit on the other side, and the cause can be in either. Checking both sides is where a second pair of eyes helps.
